Top 7 Advantages of Photocopier/Printer Rentals or Leasing in South Africa 2023

printer-lease-advantage-1 Cashflow Conservation

Photocopiers and Office Printers by their nature are required to be replaced every 36 to 72 months, this replacement cycle means that businesses and organisations are often required to prepare for lumpy cash outflows at intermittent times in their businesses year.

To assist with this issue, most South African businesses choose to rent their photocopiers allowing for a steady, predictable monthly expense and easier future budgeting. This allows businesses to save their cash for more pressing business requirements.

printer-lease-production-and-cost-of-ownership Production and cost of ownership

By leasing office printers, businesses can better control their total cost of ownership rentals ensuring that each month a fixed monthly value is budgeted and paid by the business.

When purchasing cash this total cost of ownership equation cannot be calculated accurately as currency fluctuations, depreciation and replacement time periods vary greatly. Copier rentals ensure that your business can budget accurately and for up to 72 months into the future.

printer-lease-flexibility Flexibility

The flexibility enjoyed when renting an office printer as opposed to purchasing the unit outright is significant. Rentals allow for early upgrades, easy budgeting and the addition of new technology as and when it appears.

Should your business expand during the period of the rental, it is simple and quick to add supplementary equipment or replace existing rental contracts with upgraded units.

printer-lease-preservation-of-credit Preservation of available credit

A copier machine rental allows for the preservation of one’s existing credit lines. The reason for this is that renting is considered off balance sheet financing. Off balance sheet financing, is a term used to describe asset rentals, showing that the ownership of the depreciating rental goods lies with the company renting out the equipment.

This means each month the equipment rental is a fully deductible expense. Printer rentals ensure that a business can keep their traditional credit lines open for critical internal financing needs, such as working capital, stock, debtors or business expansions. As the old saying goes buy what appreciates and rent what depreciates.

printer-lease-asset-tracking Asset tracking upgrades and maintenance

Most well-established copier machine rental companies supply sophisticated asset tracking systems to ensure that your printer lease runs smoothly. Each month, companies who lease large fleets of photocopiers, office printers and telephony systems are able to request statements indicating the location age and serial numbers of all devices.

United Copiers’ services
include systems such as PrintFleet and Internal ERP systems to carefully track, monitor and maintain your rented office equipment, in addition upgrades and maintenance are made simpler by the continual tracking, checking and servicing of equipment tracked on these internal IT systems.

printer-lease-easier-budheting Easier budgeting

All businesses require the ability to forecast expenses and plan sales and strategy, accordingly, when a critical piece of infrastructure is required, businesses and financial directors do not like unexpected and large capital outflows.

Renting an office printer ensures that your business or organisation can budget for up to 72 months in advance. This ensures that there are no nasty surprises in terms of capital outflows during the course of your business year. Using a rental, your business can accurately budget and in turn, improve business profitability.

printer-lease-asset-management Life cycle management of assets

Like any IT hardware asset, photocopiers and office printers depreciate and deteriorate over time. A well implemented and planned rental solution ensures that your business enjoys maximum value from your copier while ensuring that it is upgraded at the correct time in its lifecycle.

Once the asset has completed its useful life and has reached a point at which service and maintenance costs far outstrip the cost of a new replacement device, replacement is necessary. In line with this, productivity increases when the device functions correctly and assists employees in performing their duties efficiently.

Frequently asked questions about printer lease or photocopier lease options

What do I need to Rent a Multifunction Printer or Copier?

Renting or hiring a business printer is a commercial transaction which requires checking the affordability and ability to service an ongoing payment for the chosen office equipment.

Therefore, the rental approval process requires certain supporting documents from applicants to be checked and approved before the rental is approved. This process can take 24 hours if all paperwork is supplied upfront

The documents requested typically include but are not limited to:

A signed 2-page credit application which includes your company number, VAT number and any other relevant company details required in a typical credit approval process. The finance house will also require up to three months’ bank statements and/or financial statements. In certain circumstances when the applying company or organisation is over a certain size or their credit history is well known, a credit application may be all that is needed without the need for supporting documents. Please discuss this with one of our Solutions Consultants, if you have any concerns or more detailed question.

How much does it cost to lease a printer or photocopy machine?

Photocopier and printer lease prices vary depending on several factors, which determine the type of machine required and in turn, the price. These typically include:

  • Number of pages printed per month
  • Is the device black and white only or colour and black and white
  • Do you require A4 only printing or A3 and A4 printing
  • How many users will be printing to the device
  • How long do you want to rent it for
  • Will your rental include an annual escalation

What is the difference between a Rental, Hire or Lease agreement in the Photocopier Industry?

The technically correct name in the multifunction printer industry is a “Rental”,however many people often refer to these agreements as hire or lease agreements.Examples include “printer lease”, “printer hire” “photocopier lease”, and “photocopier hire” etc

What is the typical duration of a multifunction printer/photocopier rental agreement?

Most agreements run between 36 and 60 months; this is because the optimal operating life of a Multifunction office printer/photocopier is between these two lengths. A small percentage of businesses choose to take their agreements out over a shorter period such as 12 or 24 months. Our rental agreements are 100% customizable in terms of duration but please remember they are fixed and cannot be cancelled without settlement of the outstanding rentals.

Be aware of any operators trying to offer lease agreements over 60 months as these typically run longer than the usable life of most office printers.

Also keep a keen eye out for automatic renewals, these are clauses in some agreements that allow the contract to automatically renew if notice is not given by the hirer before a certain date. They are often found in the small print of the contract.

Are Rental escalations optional and should I take one?

Rental escalations are 100% optional, our escalations typically range from 5, 10, 15 and 0%.

What does this mean? A rental escalation means that the rental you pay will escalate on the start date or anniversary date of your rental. therefore, if you select a 10% escalation rate, on the start date or anniversary of your contract the rental amount will escalate by 10%.

should I take an escalation? We typically believe the most suitable escalation amount is 5%, this means that you can start with a slightly lower rental which will escalate over the preceding years and by the conclusion of the rental you will have a rental amount which has appropriately adjusted overtime for inflation.
